Julie-Anne, what was the hardest part about making these changes that includes Google Apps, your VoIP phone systems, switching to Zero?

Probably switching over to Zero was the hardest just because it is such a vast software to be using and just getting used to something different like QuickBooks has a lot of quick tricks that you can do that might technically not be accurate for your accounting but it just has some quick things that you can easily do where in Zero you have to actually follow the steps and do it properly. So, you have accurate accounting information but that was probably most difficult.

If you were to ask one of my colleagues I know his most difficult thing was switching over to gmail just because he loved his Mac Mail account and it took him a while but now he uses it and now he uses the Google Docs and he loves it.

ANGIE NORMAN:

Excellent, absolutely excellent. Our business is seamlessly faster and more effective definitely.

Are there anything specific that you noticed that’s really stood out for you that’s been the best benefit of having somebody work for you virtually?

ANGIE:

Yeah, there’s lots of benefits actually. First of all, we love Gabby, she’s amazing. She’s outgoing and she’s a multitasker. Not only does she help us with our accounting services, she’s doing a bunch of marketing for me, some admin work – lots of different tasks so I’m super happy with it.

CARLY:

I know when a lot of people think of a remote agent or virtual assistant they don’t really understand how that process would work, how somebody could work virtually for you and to actually help you out with all the different day to day tasks. What sort of software or how do you guys keep in touch to let you know that she’s on top of her task and you guys are coordinating with the work?

ANGIE:

We upgraded our whole system to Google so all our files are on Google Drive and we use Google chat, before we use Skype but basically it’s like she’s sitting in my office with me so we’re constantly in communication all day as she is with the rest of my staff. She’s just another member of our office, just virtual.

CARLY:

Virtual, right. Is that what you expected when you had gone in and started this whole process? Did you expect to be that close with that kind of contact with somebody working virtually?

ANGIE:

No, I didn’t and it’s really nice. I have an assistant who’s sitting in my office also so every two seconds I can ask her a question but it’s like the exact same thing. She’s just on the other side of a computer screen. So it’s great.

CARLY:

Are there any downsides to having a virtual assistant or remote agent that you noticed?

ANGIE:

Well the only thing is, honestly, and it’s not really a virtual problem, I guess – is I need to be on top of making sure she has work way ahead into the future. So, if I’m in a meeting with clients or occupied, she has work to do but it’s not really different than somebody sitting in my office either.

CARLY:

What did you expect? Was it going to be like a difficult transition to bring in somebody virtually?

ANGIE:

I think I was more concerned about will that person be responsible, what if their internet wasn’t working – all that kinds of things. But honestly, there’s so many ways to communicate and if there’s a problem with my computer or her computer like I jump on my iPhone and talk to her that way. So there’s not really a downfall at all.

CARLY:

Have you noticed as far as the efficiencies in your office – I know you’ve mentioned that she’s made your life a lot easier, is there any way specifically that you noticed that she’s really changing or does it mean that you’ve got a secondary assistant that’s helping you out?

ANGIE:

I think the whole process not just having a remote agent, you guys kind of pointed me in the right direction with business process outsourcing software that is way more streamlined, there’s a program called ShoeBoxed that all of our documents are going to now. We’re trying to be paperless. So that’s awesome. And then we already have an online work management system.

At the beginning, when you have any new process, it’s stressful like how am I going to learn this and most of my staff that are in house, English is their second language so I was worried about the training piece but it was awesome.

You guys addressed all our concerns and in a few months, we were up and going for sure.

And another advantage really is the paperless and being virtual we can now get clients anywhere in Canada because we now have the ability to communicate that we didn’t have before.
